Note that instaClaim features will only work whereby a connection with a Xero account is established - instaClaim is not a replacement for accounting software, but rather it makes up for the key limitations of accounting platforms when it comes to generating expense claim documentation - i.e. instaClaim will only be able to generate expense report documentation from documents and data available in the connected Xero account: hence make sure that accounts are complete and appropriately reconciled in Xero before generating reports in instaClaim.

instaClaim helps you generate:
- A categorized expense summary (in spreadsheet format)
- A zipped folder with all supporting invoice PDFs, categorized by project expense category
- Automatically redacted bank statements showing only relevant transactions for each reporting period.
These documents are tailored to meet common grant documentation standards.

Once your accounting software (e.g., Xero) is connected, instaClaim will automatically retrieve relevant invoices/receipts, so you don’t need to manually upload invoices/receipts.
For bank statements, you can upload PDFs, and our automated redaction tool allows you to selectively show only the necessary line items, while redacting in just a few seconds and at the click of a button all other sensitive information.
- Currently, instaClaim supports PDF format for statement uploads. For scanned or image-based statements, make sure they are OCR-readable PDFs for optimal performance.
- Yes! instaClaim supports multi-user collaboration. You can invite your accountant or team members to specific reports or projects to collaborate on documentation generation and reviews, by choosing the Accountant plan (more details on the Accountant plan at https://instaclaim.app/pricing/)

Yes. We take data security seriously. instaClaim uses encrypted connections and follows best practices for handling sensitive financial documents and personal data. Redacted documents are processed securely and are only accessible to authorized users.
The magic behind the automated redaction feature also does not use AI, which means:
- There is no underlying AI model training on your data;
- As long as it is able to read the PDF file correctly, it gives the same accurate results each time - While on the other hand AI models are inherently probabilistic and can hallucinate or give incorrect results;
- It is faster than any currently AI model could be to perform the same task;
- It is cheaper to run than AI models, which allows us to keep our prices affordable, while providing unique features.
- Absolutely. You can manage multiple grants and projects within your account. Each project can have its own reporting periods, expense categories, and documentation bundles.
- Yes. You can define your own expense categories to match your funder’s or internal requirements, and customize report outputs where needed.

If you cancel your subscription, you'll still have full access until the end of your billing period. After that, you'll have a 30-day grace period to log in and download your reports before all data is permanently deleted. You can download reports individually or all at once.
